Write a short voicemail with a next step

A simple script structure for voicemails that gives the listener a reason to call back without pretending a call was made.

Name yourself and the reason

Use your name, business and one concrete reason you reached out. Skip a long introduction or a list of every service you offer.

Make the return action easy

Offer one next step: reply to the message, call a number or choose a time. Keep the request specific enough that the listener can decide quickly.

Review before sending

Reach can prepare a recorded or AI-assisted voicemail, but a person must review and approve it. Voice detection can be imperfect, so calling permission and recording consent remain your responsibility.

A usable example, with the blanks made explicit

“Hi Alex, this is Jordan from [your business]. I’m calling about [the specific reason for contacting Alex]. If that’s relevant, please call me back at [your callback number]. Again, this is Jordan at [your callback number]. Thank you.”

Replace every bracketed field with a real, reviewed detail. A useful reason might be an agreed follow-up from an earlier conversation. Do not imply that you spoke before when you did not, insert a made-up referral, or promise an outcome you cannot support. Say the number slowly and listen to the complete recording before approving it.

Use AI for a draft, then listen like the recipient

An AI-assisted draft can shorten a long explanation or help you compare wording. It still needs your review. Check the business name, pronunciation, callback number and requested action. Remove facts that were not in your approved context. A natural-sounding voice does not make inaccurate content acceptable.

The voicemail studio example on the homepage separates drafting, listening and approval. Its waveform is an illustration, not generated audio or evidence that a voicemail was delivered. In the product, approval is a separate decision before the eligible delivery workflow can use the message.

Keep one action and avoid a second pitch

Ask for one response. Listing a phone number, calendar link, email address and website in the same short message makes the listener choose how to proceed. If the agreed next step is a callback, keep the message about that callback. Save the detailed explanation for the conversation.

  • Identity: your real name and business.
  • Context: one accurate reason for reaching out.
  • Action: a clear callback or previously agreed next step.
  • Review: correct wording, pronunciation and contact details.
